Enovo Accounting ("we", "us", "our") is committed to protecting the privacy and security of your personal information. This policy explains how we collect, use, store and protect personal data, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

This policy applies to visitors to our website, prospective clients who contact us, and clients for whom we provide accountancy services.

Depending on your relationship with us, we may collect:

If you contact us through our website/advertisement (e.g. our contact form): Name, email address, phone number, and any information you include in your message.

If you become a client:

Identity information (full name, date of birth, address, copies of ID documents such as passport or driving licence)

Contact details (email, phone, postal address)

Financial information (income, expenses, bank details, tax records, business accounts, payroll data, VAT records)

National Insurance number, UTR, and other tax reference numbers

Information about your business (company number, directors, shareholders, beneficial owners)

Correspondence with HMRC, Companies House and other bodies on your behalf

Information required to meet our anti-money laundering obligations (see section 6)

We do not knowingly collect any more information than we need to provide our services and meet our legal obligations.

From publicly available sources (e.g. Companies House) where relevant to providing our services

From HMRC and other regulatory or government bodies in the course of acting on your behalf

 5.⁠ ⁠Who we share your information with

We do not sell your personal data. We may share it with:

HMRC, Companies House and other government or regulatory bodies, as required to act on your behalf or comply with the law

Our professional body / regulator, where required for compliance or quality assurance purposes

Our professional indemnity insurers, if relevant to a claim

IT and software providers who support our practice (e.g. cloud accounting or practice management software), under contracts that require them to protect your data

Our accountants' professional advisers (e.g. our own solicitors or auditors), where necessary

Law enforcement or regulatory authorities, where we are legally required to do so (including under anti-money laundering law see section 6)

Any third party we share data with is required to keep it secure and use it only for the purposes we specify.

 6.⁠ ⁠Anti-money laundering obligations

As an accountancy practice, we are subject to the Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017. This means we are legally required to:

Verify your identity before acting for you (client due diligence)

Retain copies of identification and due diligence records

Report certain matters to the National Crime Agency where required, without notifying you, where the law prevents us from doing so

This is a legal obligation and cannot be opted out of.

 7.⁠ ⁠How long we keep your information

Client accounting and tax records: at least 6 years from the end of the relevant tax/accounting period, in line with HMRC record-keeping requirements

Anti-money laundering / client due diligence records: at least 5 years from the end of our business relationship with you, in line with the Money Laundering Regulations 2017

Contact form enquiries that do not proceed to a client relationship: typically no longer than 12 months, unless you ask us to keep them for future contact

Marketing consent records: until you withdraw consent, plus a reasonable period afterward to evidence compliance

After these periods, we securely delete or anonymise your information, unless we are required by law to keep it for longer.

 8.⁠ ⁠How we protect your information

We use appropriate technical and organisational measures to protect personal data against unauthorised access, loss, misuse or disclosure, including secure storage, access controls, and (where applicable) encryption of sensitive data. Access to client data is limited to staff who need it to carry out their work.

 9.⁠ ⁠Website and cookies

Our website does not use cookies or third-party tracking/analytics tools. If this changes in the future, this policy will be updated to explain what cookies are used and how you can control them.

10.⁠ ⁠Your rights

Under UK GDPR, you have the right to:

Be informed about how your data is used

Access the personal data we hold about you

Have inaccurate data corrected

Have your data erased, in certain circumstances

Restrict how we use your data, in certain circumstances

Receive your data in a portable format, in certain circumstances

Object to certain uses of your data, including direct marketing

Not be subject to solely automated decision-making that has a significant effect on you

Some of these rights are limited where we have a legal obligation to retain accounting or anti-money laundering records (see sections 6 and 7).

To exercise any of these rights, contact us at support@enovoaccounting.co.uk. We will respond within one month, as required by law.

You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or by calling 0303 123 1113, if you believe we have not handled your data properly.

11.⁠ ⁠Children's information

Our services are intended for adults. We do not knowingly collect personal data from children.

12.⁠ ⁠Changes to this policy

We may update this policy from time to time, for example to reflect changes in the law or in how we operate. The "last updated" date at the top of this page shows when it was last revised. We encourage you to review it periodically.
